1. Scope

This Privacy Policy explains how ToText collects, uses, discloses, and protects personal information when you use totext.app and our transcription, editing, translation, export, and related services (the "Service").

2. Information we collect

• Account information: your email address, sign-in details, account identifiers, and preferences.
• User content: audio, video, filenames, custom vocabulary, task settings, transcripts, translations, edits, summaries, and other outputs you choose to create or share.
• Payment information: plan, purchase status, transaction identifiers, billing country, and limited billing details. Payment providers process full card or payment credentials; ToText does not store full card numbers.
• Usage and device information: pages and features used, task and usage records, browser or device information, approximate location derived from network information, timestamps, diagnostic logs, and security events.
• Support communications: messages, attachments, and other information you send when requesting help.

3. How we use information

We use information to:

• provide uploads, transcription, editing, translation, sharing, and exports;
• authenticate users and maintain accounts, plans, minutes, and subscriptions;
• process payments and provide transaction or service communications;
• operate, troubleshoot, secure, and improve the Service;
• prevent fraud, abuse, and violations of our Terms; and
• comply with law and protect the rights, safety, and integrity of users, ToText, and others.

4. How we process your content

We process uploaded media and related content to complete the actions you request. This can include preparing audio, generating and storing results, applying your edits, creating exports, and making content available through links you choose to share. We do not use your uploaded media or transcripts to train public or third-party models.

5. Legal bases

Where applicable law requires a legal basis, we process information as necessary to perform our contract with you, pursue legitimate interests such as providing and securing the Service, comply with legal obligations, and act with your consent where requested. You may withdraw consent at any time, without affecting earlier processing.

6. When we share information

We may share information with:

• Service providers that support hosting, storage, content processing, authentication, email, payments, customer support, security, and error monitoring, under contractual restrictions appropriate to their role.
• People you choose when you create a share link, export content, or otherwise direct us to disclose it.
• Authorities or other parties when reasonably necessary to comply with law, enforce our terms, investigate abuse, or protect rights and safety.
• Transaction participants in connection with a merger, financing, acquisition, reorganization, or sale of all or part of our business, subject to appropriate confidentiality protections.

We do not sell your uploaded media or transcripts. We do not sell personal information for money.

7. Cookies and local storage

We use cookies and similar browser storage that are necessary for sign-in, security, preferences, payments, and core Service operation. Your browser may let you remove or block these technologies, but parts of the Service may then stop working.

8. Retention and deletion

We retain account and content information while needed to provide the Service and for the retention period associated with your task or plan. You may delete individual tasks and request account deletion. Deletion can remove transcripts, revoke share links, and remove source media when it is no longer referenced by another task. Limited copies may remain temporarily in backups or be retained for security, fraud prevention, dispute resolution, tax, accounting, or other legal obligations.

9. International data transfers

ToText and its service providers may process information in countries other than the one where you live. Where required, we use recognized safeguards for cross-border transfers and require service providers to protect information consistently with applicable law.

10. Security

We use administrative, technical, and organizational safeguards designed to protect information, including access controls and protected transmission. No storage or transmission method is completely secure, so we cannot guarantee absolute security. Protect your sign-in credentials and contact us if you suspect unauthorized access.

11. Your privacy rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information; object to or restrict certain processing; withdraw consent; and appeal a denied request or complain to a privacy regulator. To make a request, email support@totext.app. We may need to verify your identity before completing it. Authorized agents may submit requests where local law permits.

12. Children

The Service is not directed to children under 16, and we do not knowingly collect their personal information. If you believe a child has provided personal information without appropriate permission, contact us so we can review and delete it.

13. Changes to this Policy

We may update this Policy as the Service or legal requirements change. We will post the revised version here and update the date above. We may provide additional notice when a change materially affects your privacy rights.
